Key Accountabilities
General Office Management:
- Bank deposits, fund transfers, and investment account monitoring.
- Job Invoicing and related activities
- Closing Job files, final reviews
- Purchase and maintain vehicle licenses.
- Back up to Receptionist.
- Proactively negotiate payment terms, discounts, and incentives.
- Ensure timely payment of payables and/or communicate changes to payment terms.
- Proactively maintain vendor relationships.
- Effectively create, account for and track invoices.
- Proactively manage outstanding invoices and collection actions.
- Proactively maintain customer relationships through friendly reminder of unpaid invoices.
- Assist Management analyzing actual labor, material and overhead cost against Standard/Budget. Research and explain variances. Report this information weekly or as needed.
- Ensure that all employees are accurately and timely paid:
- Enter and review data
- Generate checks
- Ensure that proper tax is assessed and payments made, on time, with state and federal government agencies.
- 401k and Insurance
- Assist in development of new labor and overhead rates, budget and forecasts.
- Assists with setting and monitoring measurable financial performance criteria for departments and individuals, as directed.
- Ensuring the timely completion of month-end closings.
- Proactively prepare and analyze financial reports that can be used for budgeting, cost accounting, forecasting, and other decision making.
- Analyze actual labor, material and overhead cost against Standard/Budget. Research and explain variances. Report this information weekly or as needed.
- Drives report generation and interpretation for all departments within the organization, leveraging Job Boss.
- Assist with communication to investors, banks and other professionals that play a role in the growth and operation of the business.
- Regularly reconcile accounts and end sure adherence to GAAP standards of accounting principles.
- Proactively establish, maintain, and improve systems that reinforce compliance, and fraud and theft prevention.
- Establish and maintain a process for managing against errors.

- Key Technical Abilities:
- Advanced knowledge of Microsoft Excel, preferred.
- Experience with Job Boss, preferred.
- Education and Experience:
- 2-4 years of experience in manufacturing environment, preferred.
- High school diploma or GED, required.
- B.S. in Accounting or equivalent work experience, preferred.
- Job cost or cost accounting experience, preferred.
